Loose Joints is seeking an organized and proactive Office and Communications Manager to oversee the administrative operations, office upkeep and drive the communications efforts of our publishing house and our sister bookshop, Ensemble.
The successful candidate will play a pivotal role in ensuring the smooth operation of our publishing house's administrative functions, while also providing valuable support across marketing activities and office organization.
The role is a part-time CDI position, working four days a week, located at our Marseille office.
Key responsibilities:
– Serve as the primary contact point for the office: answer calls, emails, and welcome visitors.
– Handle general office management tasks, ensuring workspaces are well-equipped and functional. Manage external service providers and facilitate new intern onboarding.
– Provide operational and administrative support to the studio. Archive files, invoices, and receipts for annual account preparation in coordination with our accountant.
– Support the development of press and marketing activities for Loose Joints and Ensemble.
– Work with the sales team to ensure smooth distribution of new titles, create sales tools, and produce marketing materials.
– Manage press relations, maintaining a media contact base and identifying potential media partners for collaborations.
– Coordinate PR campaigns for new releases (communicate with journalists, prepare and send press kits, manage press schedules, archive press clippings on the website).
– Maintain an active social media presence, write newsletters, and keep websites up to date.
– Assist with publishing contracts, royalty statements, and ISBN registrations.
– Manage the distribution of review copies to artists, journalists, and partners.
– Coordinate international book fairs, attend selected events (e.g., Paris Photo / Offprint), and organize travel arrangements for the team.
– Manage book award submissions and grant applications in collaboration with artists.
Requirement:
– Relevant visa to work in France
– Bilingual in English and French, with strong written and verbal communication skills (Loose Joints primarily operates in English, so fluency is essential).
– Minimum of 2 years of experience in a similar administrative / studio management role, ideally within publishing or a related creative field.
– Highly organized, energetic, and detail-oriented, with the ability to multitask effectively in a fast-paced environment.
– Proficiency with digital tools, particularly Excel and InDesign.
– Self-motivated and a team player with strong initiative and problem-solving skills.
– Strong writing and social media skills to promote our publications and develop marketing content.
– A genuine interest in contemporary photography is preferred.
About the role:
– Based in Marseille. Loose Joints cannot support or assist with visa application processes.
– CDI part-time contract (4 days per week: Tuesday, Wednesday, Thursday, Friday).
– Administrative Employee (E8/9 level)
– Salary: €23,500 - €25,000 gross entry-level pro rata based on experience.
